DETAILS:1 position, 1.0 FTE, Regular Full-Time, University Centre
SALARY: $22.947 $26.996 per hour (maximum hiring rate $25.646) based on experience and hospital policy
REPORTS TO:Medical Director, Geriatric Rehab Program

The Administrative Assistant to the Medical Director, Geriatric Rehab Program provides administrative support to the program Medical Director, another program physician and other program activities while maintaining and coordinating smooth office function, using his or her own initiative.

Community College, Medical Office Management Certificate preferred including a working knowledge of basic accounting
Minimum two-year experience in a senior secretarial role
Strong organizational skills: able to prioritize work, problem solve and handle complex tasks simultaneously
Excellent oral and written communication and interpersonal skills
Excellent knowledge of medical terminology and medical transcription
First-rate computer skills: MS Word, Excel, PowerPoint, Outlook, and Medbase OHIP billing software
Ability to maintain confidentiality
Ability to take initiative and function independently and in a professional manner using excellent interpersonal skills
Detail-oriented, dependable, mature, flexible and creative
Working knowledge of telephone and dictaphone system, photocopier, fax machine, computer, printer and other office automation tools and equipment
Strong customer service skills
Good work attendance is required
Prepare and compose correspondence, e.g. letters, memos, announcements for Medical Director and program
Compose PowerPoint presentations for internal and external meetings, presentations and seminars
Prepare and submit OHIP billing
Maintain appointment calendar for Medical Director
Organize meetings: order catering, prepare agendas, record and distribute minutes
Transcribe various types of correspondence e.g. letters, paper reviews, manuscripts, abstracts and reports
Provide administrative support to another program physician(s)
Maintain an accurate and confidential filing system
Co-ordinate internal and external appointments
Co-ordinate internal and external seminars, workshops, e-rounds and room bookings
Respond to a variety of inquiries from within Toronto Rehab, Senior Management, external agencies and the community
Obtain articles and other publications from internal and external libraries
Ensure the office is maintained in an efficient manner on a daily basis
